Managing articles & collections

Create, organize, edit, and publish articles, then compare or restore earlier versions from the Documentation editor.

Overview

Create and organize your documentation in the Help Center editor. Use collections to group articles and tabs to organize the site's top bar. Your draft saves as you write; customers see changes only after you publish.

If you are moving from another tool, import your existing articles first.

Find your content

The rail on the left holds your Help Center menu, language selector, search, and tabs. Click a tab to see its content. The Help Center menu also opens All articles, Analytics, Importers, and Languages.

Use the list views to find the right content:

  • Structure: Articles and collections in the order readers see them

  • Articles: Articles grouped by Draft, Unpublished changes, and Published

  • Search articles and Filter: Find text or filter by status, collection, author, or a missing language

  • Display options: Choose the article ordering and visible columns

When an article is open, the rail shows the selected tab's articles and collections. Standalone articles have no tab or collection and are reached through a direct link. Not in a tab holds content that is not assigned to a tab. Rows marked Draft are unpublished.

You can also click the rail's search icon or press ⌘K on Mac or Ctrl+K on Windows. Type an article title and open the result.


Create articles and collections

  1. Select the tab or collection where the content belongs

  2. Click 'New' above the list and choose an article or collection

  3. Enter its title and content

A new article created with a tab selected goes directly into that tab unless you create it inside a collection. A collection's ••• menu also lets you add an article or create a subcollection.

To create an article from search, type its title and choose 'New article'. Use tabs and top-bar links for the site's main navigation.

Write and format an article

Open an article from the list, rail, or search. Add its title, description, and body. Type / at the start of a line to add a block, such as a callout, table, image, or code group. The block library explains the available blocks.

Click 'All articles' in the header to return to the list. The edited time shows when your draft was last saved.


Organize your content

Open the ••• menu on an article or collection in the rail. In the list, use a collection's header menu or right-click an article row.

  • Articles: Rename, move to a collection or tab, change the order, copy the link, or delete

  • Collections: Add articles, create subcollections, change the parent collection, move to another tab, or change the order

You can also drag an article between rows to reorder it, onto a collection to move it there, or onto a tab to place it directly in that tab. Drag a collection onto a tab to move it there. In the list, drag to reorder in Structure view with manual ordering selected.

To work with several articles, select their rows and use 'Publish', 'Unpublish', 'Move', or 'Delete' in the selection bar.

Note: Moving, reordering, or deleting an article or collection affects its structure across languages. Publishing and unpublishing apply to the language you are editing.


Publish or unpublish an article

Before publishing, check the title, description, links, and Access setting. Help Center privacy controls explains who can read your content.

Click 'Publish' or 'Publish changes' in the article header. The draft becomes the version customers can read. Later edits stay in your draft until you publish again.

To take an article offline, open its ••• menu and choose 'Unpublish article'. The content remains as a draft. Repeat this for other published languages if needed.

Compare and restore versions

Featurebase saves a version each time you publish. Each article language has its own history. Unpublished drafts between publishes are not saved as separate versions.

Compare with your draft

  1. Open the article and click the edited time in its header, or choose 'Version history' from its ••• menu

  2. Select a published version, or choose 'Compare with current draft' from that version's menu

  3. Review the highlighted changes in the canvas

Added blocks appear in green and removed blocks in red. Changed text is marked word by word. For an image or another block without a text comparison, click 'Show previous' to see the earlier block.

Click 'All versions' to compare another version. Close the comparison or press Esc to return to editing.

Restore a version

  1. Click 'Restore this version' in the comparison banner or the version's ••• menu

  2. Click 'Restore version' to confirm

  3. Review the restored draft, then publish when it is ready

Restoring replaces the draft's title, description, and body. Its collection, icon, and access settings stay the same. The live article stays unchanged until you publish.

Important: Copy any unpublished edits you want to keep before restoring. Restoring replaces the current draft.


Delete an article or collection

Open the item's ••• menu, choose 'Delete', and review the confirmation before you continue. To take an article offline while keeping its content, unpublish it instead.

FAQs

Your draft saves automatically. Check the saved time before leaving. Saving a draft does not publish it.

Hover over the unavailable 'Restore this version' control to see the reason. Your draft may already match the version, the language may use automatic translation, or another editor may have changed the article. Use manual editing for an automatic translation, or reload after a concurrent edit.

Use tabs to give a section its own sidebar. The older Standalone collection setting remains available where it is already in use.
